Cancellation & Refund Policy

At KC Event Audio, we understand that event plans can change. This Cancellation & Refund Policy explains how cancellations, refunds, store credit, and equipment acceptance are handled for rentals and services booked through our company.
 

By reserving equipment or services with us, you agree to the terms below.
 

Cancellations

  • Cancellations made more than 48 hours before the scheduled event or rental date are eligible for a full refund.

  • Cancellations made between 24 and 48 hours before the scheduled event or rental date are not eligible for a cash refund, but will receive store credit equal to the amount paid. Store credit is valid for 12 months from the original event date.

  • Cancellations made less than 24 hours before the scheduled event or rental date are non-refundable, and all payments made will be forfeited.
     

Store Credit

Store credit:

  • Is non-transferable

  • Has no cash value

  • Must be used within 12 months of the original event date

  • May only be applied toward future rentals or services provided by KC Event Audio Rental

 

Equipment Acceptance & Refunds

Customers are responsible for inspecting all rented equipment upon delivery, pickup, or setup.

Unless KC Event Audio Rental is notified of defective, damaged, or missing equipment within 24 hours of delivery, pickup, or first use, all equipment shall be deemed accepted in good working condition.

No refunds, credits, or adjustments will be issued after this 24-hour period except in cases of verified equipment failure or service error as determined by KC Event Audio Rental.

Early Returns

No refunds or credits will be issued for equipment returned before the end of the agreed rental period.

Weather & Event Conditions

KC Event Audio Rental is not responsible for cancellations, interruptions, delays, or performance issues caused by:

  • Weather conditions

  • Venue restrictions

  • Power failures

  • Acts of God

  • Government actions

  • Transportation delays

  • Circumstances beyond our reasonable control

Refunds will not be issued for these circumstances. Rescheduling or store credit may be offered at our discretion.

Failure to Accept Delivery or Pickup

If a customer fails to:

  • Accept delivery,

  • Arrive for pickup,

  • Provide venue access,

  • Or otherwise prevent scheduled service completion, the reservation may be considered canceled without refund.

Additional delivery, labor, or rescheduling fees may apply.

Refund Processing

Approved refunds will be issued to the original payment method whenever possible.

Refund processing times may vary depending on your financial institution or payment provider.

Processing fees, delivery fees, labor charges, and custom-order items may be non-refundable.
